Privacy Policy

• Account: your name, email address and, if you sign in with Google, your Google profile name and photo.
• Company profile: company name, phone, address, license number, logo, trades, pricing settings, contract terms and language.
• Quotes: what you type or dictate about a project, photos and plans you attach, line items and totals, and your client’s name, email, phone and address.
• Proposal signatures: when your client signs a proposal, we record the name they enter, the time, their IP address and browser information, as evidence of the signature.
• Field work: jobs, crew member names, time entries and job photos you add.
• Payments: your subscription status and, if you collect client payments, payment amounts and status. Card and bank details are handled by Stripe.
• Usage and logs: records of AI requests (for cost and limits), technical logs used to fix errors and keep the service secure, product analytics events (pages viewed, clicks and funnel steps, with an internal account ID — no quote content) and error reports without personal data.

Voice dictation: when you use the microphone, speech is turned into text by your device or browser’s speech recognition service (for example Apple, Google or your browser’s provider). We only receive the resulting text — we do not record or store audio.

• To provide the app: build estimates, generate and send proposals, collect payments and manage field work.
• To tailor the AI to your company, using your settings and the corrections you teach it (“AI learnings”). These are used only for your own account.
• To improve estimates for everyone: when you create a proposal, its line items and prices (item name, type, unit and price) are added to a shared pricing reference that the AI uses for all companies. We do not add your company name, your client’s name or address, or the job description.
• To bill your subscription, provide support, prevent abuse and keep the service secure.

We do not sell your data and we do not show ads in the app. We use third-party analytics to see how our website and app are used (PostHog, and Google Tag Manager on the website) and error reporting (Sentry) to fix problems — see the list of providers below.

To generate an estimate, we send Anthropic (Claude) the project description, attached photos and plans, your company profile and pricing settings, and any client details included in the quote. The app asks for your consent before the first time your data is sent to the AI, and our servers refuse AI requests from accounts that have not given it. Anthropic processes this data only to produce the response and, under its commercial terms, does not use it to train its models.

We share data only with the service providers below, and only what each needs to do its job. The only data used across companies is the anonymous pricing reference described above.

• Anthropic (Claude)AI that generates estimates from your project descriptions, photos and plans, and suggests profile details during onboarding. Data sent through Anthropic’s commercial API is not used to train its models.
• StripeSubscription billing and, if you enable it, collecting payments from your clients (Stripe Connect). Card and bank details go directly to Stripe; we never see or store them.
• ResendSending proposal emails to you and your clients.
• MapboxAddress autocomplete and job location maps.
• Open-MeteoWeather forecasts for a job’s location (only coordinates are sent).
• JobTreadOnly if you connect it: sending quotes and job data to your own JobTread account. Your JobTread key is stored encrypted.
• RailwayHosting for our API servers.
• VercelHosting for the web app.
• PostHogProduct analytics on our website and in the app, to understand how they are used: page views, clicks and funnel steps (such as finishing onboarding or creating a first quote), linked to an internal account ID. It does not receive your name, email or the content of your quotes. Session recording is used only on our website (estimaiq.com), with form fields masked; app sessions are not recorded.
• Google Tag ManagerLoads the measurement scripts on our website (estimaiq.com). It is not used in the app.
• SentryError reporting, to find and fix crashes in the app and our servers. Reports contain technical details about the error, without personal data (we turn off its collection of user details, cookies, request contents and IP addresses).

When you send a proposal, your client receives it by email and through a private link that only people with the link can open. We may also disclose data if required by law.

We keep your data while your account is active. When you delete your account, your data is deleted right away from our systems. Copies may remain in encrypted backups for a limited period until they are overwritten, and Stripe keeps billing records as required by law. We keep a minimal record that an account was deleted (an internal ID and the date) for security and auditing. Line items and prices already added to the shared pricing reference stay there, because they do not identify you or your clients.

You can delete your account at any time in the app: Settings → Delete account. This cancels your subscription immediately and permanently deletes your quotes, clients, photos, plans, logo, settings and AI learnings. It cannot be undone. You can also ask us to delete it by email at support@estimaiq.com.

You can access and correct most of your data directly in the app. You can also ask us for a copy of your data, to correct it, or to delete it, by writing to support@estimaiq.com. Depending on where you live (for example, California), you may have additional rights under local law; we will not discriminate against you for exercising them.

Data is encrypted in transit (HTTPS). Integration keys, such as your JobTread key, are encrypted at rest. Access to your data is restricted to your account and, when needed for support or security, to authorized staff.

EstimaIQ is a business tool and is not directed to children under 13. We do not knowingly collect their data.

If we make material changes, we will update the date above and let you know in the app or by email before the changes take effect.
